How to Clean Your Mailbox

  • Archive Old Items — Move old items to an archive if you wish to keep them. You may save your Outlook Data File (.pst) in a different folder that you can access from Outlook whenever you need it. Outlook archives things at a certain period by default. You may also manually archive things at any time. You’ll be able to choose which things to archive, when to archive them, and where to keep them in this manner.
    Note: If you don’t see the Archive command, your organization may have turned off the feature
  • Empty the Deleted Items folder — on a regular basis to ensure that you aren’t storing communications that you don’t need.
  • Empty the Junk Email folder — On a regular basis to free up room in your inbox for communications you really desire.
  • Attachments should be kept outside of your mailbox — Attachments may quickly collect and take up a lot of space. Consider storing attachments to a team site, OneDrive, or folders on your PC if you wish to retain them.
